Migrating Your Society from MyGate to HiSociety — A Treasurer's Guide
Before you switch
Don't switch platforms just because a sales rep called. Switch because:
- Current platform's pricing has gone up significantly (MyGate added ₹15-20/unit/month in 2025)
- Missing critical features (sinking fund accounting, NFA workflows, Tally export)
- Resident or committee complaints about UX
- Annual contract is up for renewal (best time to evaluate alternatives)
If those reasons resonate, here's how to switch from MyGate to HiSociety with zero data loss and minimal disruption.
Pre-migration checklist (1 week before)
Export from MyGate:
- Members list (CSV from MyGate → Members → Export)
- Units / blocks list (Settings → Property → Export)
- Billing history (Billing → Reports → Year-to-date PDF + CSV)
- Outstanding dues report (Defaulters → Aging report)
- Complaints log (Helpdesk → Export)
- Notices archive (Notices → Bulk download)
- Vendor list (Vendors → Export)
- Bank statements (download from bank — for reconciling against MyGate records)
If MyGate doesn't let you export some data (this is a known issue), open a ticket with their support 2 weeks before — they'll send within a week.
Step 1 — Set up HiSociety (Day 1)
- Sign up at hisociety.in (free for under 25 units; for migration we activate the paid plan immediately)
- Society setup: name, address, registration type (CHS / AOA / RWA)
- Add your society's logo, contact details, GST number
- Configure financial year, charge heads, bank accounts
Step 2 — Import data (Day 1-2)
HiSociety's import wizard takes:
- Members CSV → maps name/phone/email/unit/type → imports in 30 seconds
- Units CSV → maps block/floor/unit number/area → imports
- Billing history → optional; imports as historical reference (read-only)
- Outstanding dues → maps to live invoice register (so defaulter list is accurate from day 1)
- Complaints → as historical data
- Vendors → with contact details + GST + bank info

Step 3 — Configure modules (Day 2-3)
Set up:
- Charge heads mirroring your existing structure (per-sqft maintenance, sinking fund, water, etc.)
- Complaint categories + SLAs
- NFA approval chain (treasurer → secretary → president)
- User roles (committee members, residents, security)
- Razorpay integration (use same merchant account as before)
Step 4 — Soft launch with committee (Day 3-5)
- Committee members log in, verify their data
- Run a parallel monthly bill in HiSociety + MyGate (don't send the HiSociety one yet) — compare totals; reconcile any differences
- Test the resident portal with 2-3 friendly residents
- Test online payment flow with one ₹1 test transaction
Step 5 — Resident announcement (Day 5)
Send a notice to all residents:
- "Society is moving to HiSociety from [date]"
- "Your existing data is preserved"
- "New invoices from [next billing date] will come from HiSociety"
- "Login at hisociety.in/login with your registered phone number — OTP will be sent"
- "MyGate access will be discontinued from [date]"
Step 6 — First HiSociety bill (Day 10-15)
- Generate the next monthly billing in HiSociety
- Send via WhatsApp, SMS, email with payment link
- Monitor first few payments to verify reconciliation works
- Disable MyGate auto-billing
Step 7 — Cancel MyGate (Day 30)
After confirming:
- All members logged in successfully to HiSociety
- 80%+ of residents have paid the first HiSociety bill
- No data discrepancies between systems
- Committee comfortable using HiSociety
→ Cancel your MyGate subscription (cancel before next renewal date to avoid auto-charge).
Common migration concerns
"Will residents be confused?" Most residents barely notice — the experience is similar. The first bill announcement and a 2-paragraph FAQ handles 95% of confusion.
"What about historical data?" Imported as read-only reference. Your CA can still pull old reports during audits.
"What if Razorpay setup breaks?" We migrate your existing Razorpay key — no re-KYC needed. Settlements continue to your same bank account.
"What if the committee changes next month?" The new committee gets the same access; nothing breaks.
Cost comparison after migration
A 100-unit society migrating from MyGate (₹50/unit/month = ₹5,000/month, ₹60,000/year) to HiSociety (₹25/unit/month = ₹2,500/month, ₹30,000/year) saves ₹30,000/year — money that goes back into the society's reserves.
